Privacy notice

We collect only what we need to help you, we never ask for your passwords or bank details, and you can ask us to see or delete your information at any time.

1. Who we are

Violet Audits is a trading name of Purplelf Limited, a company registered in England and Wales (company number 11251864). Registered office: Mill Lane House, Mill Lane, Margate, CT9 1LB. Purplelf Limited is the controller of your personal information. ICO registration number: [to add].

2. What we collect

  • Contact details: your name, email address and phone number.
  • Booking and payment records: which sessions you booked and paid for. Card payments are handled by Stripe; we never see or store your card number.
  • Your About You answers: your goals, priorities, the devices you use and what isn't working for you, in general terms.
  • Session notes and your Trello board: what we agree and set up together.
  • Feedback and reviews, if you choose to give them.
  • Newsletter: your name and email address, only if you sign up.

We don't ask for health information. If you choose to tell us something about your health, we only use it to support you in sessions, with your explicit consent.

We never ask for or store your passwords, card numbers or bank account details. Your budget stays in your own Google Sheet or Excel file; we look at it with you during sessions and don't keep a copy.

3. How we use it, and why we're allowed to

  • Book, run and follow up your sessions: contract (to provide the service you asked for).
  • Take payments and keep financial records: legal obligation (company accounting rules).
  • Send booking confirmations and reminders: contract.
  • Improve our service from feedback: legitimate interests.
  • AI summaries of your answers or sessions: consent (only if you agree; you can say no).
  • Recording a video call session: consent (only if you agree; you can say no).
  • Publishing your review on our website: consent (only with your written permission).
  • Sending our monthly newsletter: consent (only if you tick the box to sign up).

4. AI summaries (optional)

With your consent, we may use Claude (made by Anthropic) to summarise your About You answers or session notes. Craig always checks a summary before using it. You can say no, and the service works just as well without it.

If we help you set up your own AI assistant, that's your own account with the provider (for example Anthropic or OpenAI), under their privacy terms. We don't have access to it.

5. Our newsletter (optional)

We send about one email a month with tips, reminders and occasional news about our services, using Mailchimp. You only get it if you sign up, by ticking a box on our website, booking page or About You form. Booking a session doesn't sign you up. Every email has an unsubscribe link, or you can email hello@violetaudits.com. When you unsubscribe, we stop straight away and keep only what we need to make sure you're not emailed again.

6. Who we share it with

We don't sell your information. We use these services to run Violet Audits, and they only process it on our behalf:

  • Trello (Atlassian): your private client board
  • Google: forms (About You), sheets, email and website fonts
  • Stripe: payments
  • Zoom and Google Meet: video call sessions
  • Anthropic (Claude): AI summaries, only with your consent
  • Mailchimp (Intuit): our newsletter, only if you sign up
  • Vercel: hosts this website
  • [Booking tool, e.g. Cal.com — to confirm]: online booking

We may also share information with our accountant, or if the law requires it.

7. International transfers

Some of these providers store data outside the UK, including in the United States. Where they do, we rely on the safeguards UK law requires, such as the UK–US data bridge or approved contract clauses.

8. How long we keep it [periods to confirm]

  • About You answers and session notes: deleted within 3 months of your 30-day review, unless you ask us to keep them.
  • Your client Trello board: archived when you leave it, deleted within 3 months.
  • Video call recordings: deleted within 30 days.
  • Booking and payment records: 6 years, for company accounts.
  • Published reviews: until you ask us to remove them.
  • Newsletter sign-up: until you unsubscribe.

9. Your rights

You can ask us to: see the information we hold about you; correct anything that's wrong; delete your information; stop or limit how we use it; give you a copy to take elsewhere; and withdraw your consent at any time (for AI summaries, recordings, reviews or the newsletter). Email hello@violetaudits.com. We'll reply within one month.

10. Complaints

Please tell us first, and we'll try to put it right. You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint.
